Vendor Presentation Guidelines:
The Council of Colleges of Acupuncture and Oriental Medicine meets biannually at various locations in the U.S. in the spring and fall. Vendors of products and services that wish to host a luncheon or dinner for the Councilís member colleges at a biannual meeting and to promote a product or service at that meeting may submit a written proposal to the Councilís national office at Executivedirector@ccaom.comcastbiz.net. The Councilís Executive Committee will review each proposal to determine its suitability for a luncheon or dinner event. In making its suitability determination, the Executive Committee will endeavor to ensure that:
- the proposed luncheon or dinner can be scheduled so as not to conflict with any other events;
- any presentation by the vendor is designed to: (i) provide information to the Council members that is of general interest to the Councilís member colleges, and (ii) does not directly pertain to the pending business of CCAOM at the meeting at which the presentation is to occur; and
- the vendor will be responsible for all hotel costs associated with the luncheon, including food and beverage, audiovisual, and meeting room rental, as applicable, as well as a reasonable sponsorís fee over and above these costs in an amount to be determined by the Councilís Executive Committee. The sponsorís fee in 2017 is $1,000.
- subject to the desire of CCAOM to have some variety in vendor presentations and among vendor organizations, all vendors will be treated equitably and on a first-come first-served basis based on the date the Councilís national office receives the vendorís written request to host the luncheon or dinner, provided the vendor pays the full amount of the sponsorís fee, as specified in paragraph 3 above, on the date specified by the Councilís national office.
